# Notifications

> Hear about your flow runs in the app, by email, or in Slack

Experio tells you when a flow you started finishes, fails, or needs your review, so you do not have to keep the page open.

## Which events notify you

| Event | When it happens |
| - | - |
| **Run completed** | A flow you started finished. |
| **Run failed** | A flow you started failed. |
| **Needs review** | A flow you started is paused and waiting for your review, or a flow author has named you as a reviewer of a review step. |

Each notification names the flow, says what happened, and links to the run or, for a review you were asked to give, to the review. It never includes what the run produced or what you are being asked to review.

## The bell

Notifications appear in the **bell** in the app. An unread count shows on the bell, and selecting a notification opens the run and marks it as read. Depending on how the run was started and what you can access, the link opens the chat conversation, the flow's **Run** tab, or a read-only run status page showing the flow name, its status, and its times. A review you were asked to give opens the review itself.

## Reviews you were asked to give

A flow author can name people and groups as reviewers of a review step. When a run pauses for review, each reviewer gets a **Needs review** notification that opens the review. You see only that review step's information, not the rest of the run. The first answer, from the person who started the run or from any reviewer, continues the run, and the review then closes for everyone else. Your notification preferences below apply to these notifications too.

## Choose where you are notified

Open your **profile** from the user menu in the sidebar. The **Notifications** section is a grid: one row for each event, one column for each channel.

| Channel | Description |
| - | - |
| **In-app** | The bell. |
| **Email** | A message to the email address on your account. |
| **Slack** | A direct message in Slack. Shown only when your administrator has set it up. |

Tick the cells you want and save. Leaving every box in a row empty means you are not notified about that event at all.

If you never change anything, these defaults apply:

| Event | In-app | Email | Slack |
| - | :-: | :-: | :-: |
| Run completed | Yes | — | — |
| Run failed | Yes | — | — |
| Needs review | Yes | Yes | — |

Slack is never on by default. You turn it on yourself.

## When email and Slack arrive

Email and Slack messages are sent about **5 minutes after** the event. This gives you time to see it in the app first. A message is skipped if:

* you have already opened the notification, or
* the review has already been handled, for example someone answered it or the run was cancelled.

When a review goes to a large group, Experio sends the emails and Slack messages in batches instead of all at once, so the last people in a big group receive theirs a little after the first: a group of 200 people takes about a minute, and a group of 1,000 about five minutes, as long as your email provider allows that many emails per minute and per hour. The bell notification in Experio arrives for everyone at once. Emails and Slack messages for other notifications that fall due while a big group is being sent wait in the same line, so they can arrive as late as the last person in that group.

Repeated failures are not repeated in your inbox. When the same flow fails again within about an hour, the new failure still appears in the bell, but you are not sent another email or Slack message for it. In practice, email and Slack for a failing flow arrive at most about once an hour.

If a message cannot be delivered, Experio retries once. A notification that still cannot be delivered stays in the bell.

## Slack

> [!NOTE]
>
> Slack notifications need your administrator to set them up first. See [System Settings](https://docs.experio.cloud/admin-guide/system-settings.md#slack-notifications). Until then, the Slack column does not appear.

Experio finds your Slack account in this order:

1. The Slack account you connected under **Integrations**, if you connected one. See [Integrations](https://docs.experio.cloud/user-guide/integrations.md#slack).
2. Otherwise, the Slack member whose email matches the email on your Experio account.

If neither matches, Slack messages cannot be sent to you. Connect Slack under Integrations, or ask your administrator to make sure your Slack email matches your Experio email.

The message arrives as a direct message from the Experio app and contains the same short title and link as the bell.
